Auto-capture from email
Point Invoice Pilot at any IMAP mailbox. Every hour we pull unread mail, save the PDF attachments, and create a draft invoice — deduplicated by Message-ID so nothing slips through twice.
Forward your supplier invoices to one mailbox. Invoice Pilot files them, reminds you before they're due, and gives your accountant a clean monthly export — automatically.
No credit card required. Self-hosted on your own WordPress.
Built for small businesses across the EU and UK
No bloat. No accounting jargon. Just the workflow you actually need.

Claude reads each PDF or image, fills in the supplier name, dates, amounts, VAT and IBAN, and lands the invoice in your dashboard ready for review. Less than a cent per invoice.
Hero metrics show what you owe, what you are owed, and your net position. A 12-week chart shows the past four weeks of actuals plus eight weeks of projection from due dates.
From supplier email to clean monthly export in three steps.
Set up invoices@yourcompany.com on Fastmail, Gmail or your existing email host. Tell suppliers to send invoices there.
Once an hour we poll the mailbox, save attachments to your Media Library, and run extraction. Supplier, amounts, IBAN, due date — all filled in.
Review the draft, mark it paid when you do. Get reminded 5 days before due dates. Hand your accountant a CSV at month-end.
Start self-hosted in 10 minutes, upgrade to Managed when you outgrow the setup.
You install. You bring your own Anthropic key.
We host, configure and maintain it for you.
Up to 25 client sites. Single dashboard. White-label.
Those are full accounting platforms — they expect you to be doing accounting. Invoice Pilot is one job done well: capture every supplier invoice, file it, remind you before it's due, and hand a clean export to your accountant. It plugs into the platform you already use; it doesn't replace it.
On your own WordPress site. Two custom database tables in your existing WordPress database. Attachments live in your standard Media Library. We never see your invoices unless you specifically ask us to.
Claude reads invoices roughly as well as a human assistant — it gets the supplier, totals, dates and IBAN right almost every time on cleanly-scanned PDFs. We always leave fields you've edited untouched, and every invoice lands in a 'needs review' state so you spot anything off in 5 seconds.
On the default Claude Haiku 4.5 model, well under one cent per invoice. A business doing 100 supplier invoices per month spends roughly €0.50 in API costs. The Managed plan includes this; on Self-hosted you pay Anthropic directly.
Yes. There is a built-in Accountant role that can view invoices, download attachments and run CSV exports — but cannot change settings or delete records.
Self-hosted: just stop paying — the plugin keeps running on your server until you uninstall it. Managed: 30 days notice, we hand you the database export and the plugin so you can self-host. Your data is yours.
